AI Database Reactivation Calls for Dormant Leads and Past Customers

Database reactivation for the leads and customers you already paid to get. Export a list from your CRM, and the agent calls at the pace you set, reminds each person how they know you, asks whether the need is still there, and books a meeting or connects a rep. People who are booked or already working with a rep are left alone. Run a pilot on one list before you sign a contract.
Trusted by over 4,000 businesses powering 100+ million calls per month.
How It Works

Run AI database reactivation in four steps, from a CRM export to meetings on your reps' calendars.

Export and clean your list
Export dormant leads, lost deals, or lapsed customers with the date of the last conversation and what they wanted, and load them as batch call columns the agent can refer to.
Test the reactivation script
Run simulated calls with people who do not remember you, people who bought elsewhere, people already booked with a rep, and people who ask to be removed, and grade every run first.
Set pace, hours, and numbers
Schedule each batch inside the time window you choose, hold back concurrency for inbound calls, and call from a branded or verified US number so the call is recognized.
Go live and work the results
Every call is transcribed and analyzed, so you can track pickups, interest, meetings booked, new contacts captured, and do-not-call requests for each batch.
Use Cases

Dormant leads and past customers back in the pipeline

Laptop showing a sales pipeline dashboard
Lost deals and leads that went dark

Need the leads that went quiet in the last year called before they become someone else's customer. Export the deals that were lost or stalled with the date of the last conversation and what the person asked about. The agent opens with that history, checks that the person recognizes your company, asks whether they are still looking, and books a meeting or connects a rep. Opted-in leads who stopped answering a few months ago are usually the warmest place to start.

Small business owner taking a phone call
Past customers you have not heard from

Need lapsed customers reminded that you exist without a rep dialing thousands of numbers. The agent reintroduces your business, mentions the offer you choose to bring them back, captures the best email for follow-up, and asks whether they want a rep to call or prefer to order online. The offer is your decision, and the agent says only what you write. The win-back campaign template is a starting point.

Team reviewing lead list data on a laptop
A big old list cut down to the viable few

Need a large old list turned into a short list your reps can actually work. The agent asks why the person did not move ahead last time, such as the upfront cost or the timing, whether that has changed, and your current qualifying questions. Post-call extraction tags each person as interested, not now, not a fit, or do not call, so the list that goes back to your reps holds only the people worth a conversation.

Calendar with booked meeting dates pinned
Book the meeting or connect live

Need interested people talking to a rep while they are interested. When a rep is free, the agent places a warm transfer and briefs the rep privately on the person's history before connecting them. When nobody is free, it books on Cal.com, Calendly, or GoHighLevel natively, or creates a callback task in HubSpot, Salesforce, or Zoho CRM. Teams that only want booked meetings skip the live transfer.

Tablet dashboard tracking booked leads
Stop calling once someone is booked

Need the agent and your reps never working the same person. After a booking, the agent updates or tags the record in your CRM, and the export behind the next batch leaves out anyone booked, in an open deal, or owned by a rep. Remove do-not-call numbers from each list before it is uploaded, because batch calls do not check the do-not-call flag on their own. Contact memory keeps a short brief per phone number, so if the same person calls back, the agent knows what was agreed.

Person reading a follow-up text message
Call and text cadence across several days

Need a cadence, not one call. One pattern teams use is a call a day for a set number of days, a text after each missed call saying you will try again, then a pause before the list is worked again. Each batch runs inside its own time window, texts go through the Retell SMS API from your registered number to people who agreed to texts, and email steps stay in your marketing tool. When the person you knew has left the company, the agent asks who handles it now and records the new name and number. The lead reactivation campaign template shows the script.

FAQ

Frequently asked questions.

Which lists can we reactivate?

Any list you have permission to call: leads who opted in and went quiet, lost or stalled deals, lapsed customers, and missed demos or appointments. Export it from your CRM as a CSV with a phone number column, and every other column, such as first name, last contact date, or product, becomes a variable the agent can use in the conversation.

How fast does the agent work through a list?

At the pace you set. Batch calls are placed as concurrency slots free up, so you control speed by how much concurrency the batch gets and how much you hold back for inbound calls. Each batch runs inside the time window you choose, can be scheduled ahead, and reports how many calls were sent, picked up, and successful. See batch calling.

How do we stop the agent calling someone a rep is already working?

Leave them out of the list. Build each batch from a CRM export that excludes anyone booked, in an open deal, or assigned to a rep, and have the agent tag or update the record after every booking so the next export skips them. Remove do-not-call numbers before uploading too: the agent marks do-not-call requests on the contact, but batch calls do not check that flag.

Does it work with our CRM?

HubSpot, Salesforce, Microsoft Dynamics 365, GoHighLevel, and Zoho CRM are native integrations: the agent can look up the person during the call, create tasks and notes, and log the call. Post-call results can be written back to contact fields. Other CRMs connect through custom functions or webhooks, and any CRM can supply the list as a CSV export.

How much does AI database reactivation cost on Retell?

Pay-as-you-go voice agents cost $0.07 to $0.31 per minute, depending on the language model, voice, and telephony you choose, with $10 in free credits to start and no contract. Twenty concurrent calls are included, and calls above your limit can run in burst mode at an extra $0.10 per minute. Enterprise plans have custom pricing. See pricing for your mix.

Do we need consent to call old leads and past customers?

Check before the first batch. The rules can differ for past customers, leads who opted in, and people who never did, and they depend on where you and the person are. Confirm with your counsel what consent each list carries and which calling hours apply. The call consent checklist covers what to confirm. This is not legal advice.
