AI Truck Dispatcher for Check Calls, Delays, and Driver Support

Dispatch calls without adding dispatchers. The agent calls drivers when a shipment runs late or a check-in is missed, asks where they are and what the ETA is, books delivery appointments with warehouses, answers the questions drivers call in with, and sends exceptions to your coordinator. Updates go back to your transport management system through your API, so the load record stays current.
Trusted by over 4,000 businesses powering 100+ million calls per month.
How It Works

Set up an AI truck dispatcher in four stages, from your trigger rules to live calls tied to your TMS.

Write your dispatch rules
List the questions to ask on each call type, the triggers that start an outbound call, and what counts as an emergency, then connect your TMS through custom functions and webhooks so each call carries the load context and writes the answers back.
Test on real driver calls
Run simulated calls with a driver who doesn't answer, a breakdown, a warehouse phone menu, a driver speaking another language, and a carrier who pushes on price, and grade every run before a real driver is called.
Connect your numbers and TMS
Start outbound calls from your TMS or automation through the API, or load a list for a batch, and publish an inbound number for drivers and carriers, with calling windows you set.
Go live and track exceptions
Every call returns a transcript and the fields you define, such as location, delay reason, revised ETA, and escalated, so your coordinators see exceptions and not every routine call.
Use Cases

Driver and warehouse calls made, answered, and written back to your TMS

Smiling truck driver waving from the cab of a white truck
Delay and missed check-in calls to drivers

Need late loads chased without a coordinator dialing. When your TMS flags a delay or a missed check-in, it triggers an outbound call through the API with the route and shipment as variables. The agent asks where the driver is, why the load is late, and the revised ETA, and the answers are written back through a custom function or webhook.

Delivery appointments booked with warehouses

Need appointments set without hours on hold. The agent calls the receiver with the purchase order and the requested date, asks for open slots in your window, confirms one, and collects the confirmation number, date, and time. Where the receiver has a phone menu, the Press Digit tool lets the agent navigate keypad menus, and the booking is written back to your TMS.

Driver questions answered on an inbound line

Need drivers answered when dispatch is busy. Drivers call about their next load, a breakdown, missing customs paperwork, clearance status, where a trailer is in the yard, or a new seal number. The agent answers what your TMS can show through a custom function, logs updates such as the new seal number, and sends the rest to a person.

Carrier load intake from load board calls

Need carriers handled before a rep picks up. A carrier calls about a posted load, and the agent asks for the load ID, pickup and delivery availability, and the carrier's company name. If the carrier pushes on price, the agent stays within the cap you set. The details go to your team's channel or system, and a rep confirms and dispatches.

Emergencies and exceptions to a coordinator

Need the agent to know when to stop. Breakdowns, accidents, and anything you list as an emergency go to your coordinator by warm transfer, which briefs them privately on the load and what the driver said. Voicemail on an outbound call is detected, so the agent can leave a callback message or try again by the rule you set.

Driver languages and a natural way of speaking

Need drivers to take the call seriously. Choose the language and voice per agent, including the second language your drivers actually speak, and write the agent to be brief and informal. Test accents on simulated calls and by listening before launch. Logistics teams also use AI dispatch and an AI receptionist for logistics for inbound calls.

FAQ

Frequently asked questions.

Does Retell connect to my TMS?

Retell does not ship a prebuilt connector for transport management systems. Your TMS or an automation starts outbound calls through the API with the load details as variables, the agent reads or updates the TMS through custom functions during the call, and webhooks send the outcome after the call. Your team, a Retell solution partner, or our team builds the connection once.

Can the agent call warehouses that use a phone menu?

Yes, for keypad menus. The Press Digit tool lets the agent press digits on an outbound call to reach the scheduling line, and menus that take spoken answers are handled by normal prompting. You test the menus you call most on simulated calls, and the agent can detect voicemail and leave a message or hang up by your rule.

What happens when a driver reports an emergency?

You define what counts as an emergency, such as an accident or a breakdown. The agent listens for it in the driver's own words, and the call goes to your coordinator by warm transfer, which briefs them privately on the load and what the driver said. The transcript and the fields you define are available after the call.

Can the agent speak drivers' languages?

A language works only when both a voice and speech recognition provider support it, and the dashboard's language picker shows which combinations are available. Choose the language per agent, write the instructions for a brief, informal tone, and test accents with native speakers on simulated and real calls before you launch.

How much does an AI truck dispatcher cost on Retell?

Retell voice agents are priced per minute of conversation, from $0.07 per minute, depending on the language model, voice, and telephony you choose. Pay-as-you-go needs no contract, and Enterprise plans have custom pricing for high volume or custom deployment needs. See pricing for your mix.

How is this different from an AI receptionist for logistics?

An AI receptionist for logistics answers inbound calls to your office. The dispatch agent also makes outbound calls on triggers from your TMS, such as a delay or a missed check-in, books appointments with receivers, and writes the answers back to the load, so coordinators work from exceptions.
