AI Service Scheduling for Car Dealerships

Automotive service scheduling for the customers who call instead of booking online. The agent takes the service request, the vehicle, and wait or drop-off, books an open slot in your scheduler, and answers is-my-car-ready calls. Run a pilot on one rooftop before you sign a contract.
Trusted by over 4,000 businesses powering 100+ million calls per month.
How It Works

Set up AI service scheduling for your dealership in four steps, from scheduler connection to live bookings on your service line.

Connect your service scheduler
Connect your service scheduler or DMS through custom functions, or Cal.com or Calendly if you book there, then write the rules for service types, job lengths, loaners, and handoffs.
Test on real service calls
Run simulated calls with warning lights, recall questions, mid-call time changes, and callers who do not know their trim, and grade every run before a customer calls.
Route your service line
Keep your service line number by importing it over a SIP trunk or forwarding it from your carrier, start on one rooftop, and add stores once results hold.
Go live and track bookings
Every call is transcribed and analyzed, so you can track appointments booked, service types, status calls, and transfers to advisors by store.
Use Cases

Service appointments booked on the call, at every rooftop

Technician pouring new oil during an oil change
Service appointments booked on the call

Need an oil change, tire rotation, or brake inspection booked without the caller waiting for an advisor. The agent asks what the vehicle needs, collects year, make, and model, and asks whether the customer will wait or drop off. It checks open slots in your scheduler, offers the nearest one that fits the job, and books it with appointment booking through your scheduler's API or a connected calendar. If the caller changes the time mid-call, the agent checks again and rebooks.

Warning lights on a car instrument cluster
Warning lights and diagnosis requests

Need check-engine and strange-noise calls booked with the right amount of shop time. The agent asks what the caller sees or hears, when it started, and whether the car is safe to drive, using questions your service manager writes. It books a diagnostic slot and passes the notes to the advisor, and it does not guess at a repair or a price. Anything that sounds unsafe goes to a person right away.

Service advisor on the phone next to a car in the service bay
Is my car ready and repair order status

Need status calls off the advisors' phones while they walk a customer through an estimate. The agent finds the open repair order by the caller's number through your DMS or scheduler API and reads back the status your system shows. When the car is waiting on a part or an approval, it says so and offers a transfer to the advisor. Pickup times and after-hours key drop instructions come from your own rules.

Car dealership building lit up at night
After-hours and weekend service calls

Need the service line answered after 6pm and on Sundays, when calls would otherwise go to voicemail. The agent books routine service at any hour, answers recall and warranty questions from a knowledge base you control, and logs anything that needs an advisor as a callback with the details. Stores that want the whole line covered after hours, sales calls included, use an automotive answering service.

Multi-rooftop dealer groups

Need every store booking service the same way, with each rooftop's own hours, brands, service menu, and loaner rules. Each number routes to its own store's configuration, so a dealer group runs one setup instead of a different script at every location. Asbury Automotive Group, a Fortune 500 dealer group, uses Retell voice agents for service inquiries, appointment scheduling, customer follow-up, and call routing across its dealerships and service centers. Read how Asbury uses Retell.

Technician removing a wheel during a tire rotation
Service reminders and follow-up calls

Need customers who are due for service called before they book somewhere else. The agent places outbound calls through batch calling to customers due for maintenance, an open recall, or a repair they declined last visit, using the list you pass in. It books the appointment on the same call or records why the customer said no. Sales follow-up for leads and test drives runs on lead qualification for automotive.

FAQ

Frequently asked questions.

Does Retell connect to dealership scheduling software or my DMS?

Retell does not ship prebuilt connectors for dealership service schedulers or DMS platforms. The agent reaches them through custom functions that call your scheduler's API during the call to check open slots, book, and look up repair orders, or through webhooks after the call. Cal.com and Calendly are native integrations if you book service there. Your team, a Retell solution partner, or our team builds the connection once for every store.

Can the agent answer recall and warranty questions?

It answers from a knowledge base you control, built from your service menu, warranty terms, and recall notices, with optional daily refresh from your site. It can tell a caller what a service includes and book the visit. It does not decide whether a repair is covered. Coverage questions, and anything it cannot answer from your content, go to an advisor.

What happens when a caller needs a service advisor?

You decide which calls go to a person, such as an estimate question, a complaint, a car that is unsafe to drive, or a customer asking for a specific advisor. The agent then transfers the call. A warm transfer waits for the advisor to pick up and briefs them privately on the vehicle and the request before connecting the caller. Managers can also listen to live calls and take over.

Can one setup cover every dealership in our group?

Yes. Each store's phone number routes to its own configuration, with that store's hours, brands, service menu, and scheduler. You manage the shared rules once and change store details without rebuilding the agent. Calls run in parallel, with 20 concurrent calls included on pay-as-you-go and no cap on concurrent calls on the Enterprise plan.

How much does AI service scheduling cost on Retell?

Pay-as-you-go voice agents cost $0.07 to $0.31 per minute, depending on the language model, voice, and telephony you choose, with $10 in free credits to start and no contract. Twenty concurrent calls are included, and calls above your limit can run in burst mode at an extra $0.10 per minute. Enterprise plans have custom pricing. See pricing for your mix.

How is this different from online service scheduling?

Online scheduling covers customers who book on your website. A voice agent covers the ones who call: it asks what the car needs, helps a caller who is unsure of the problem, answers questions, and books the slot in the same scheduler your online booking uses, as long as it has an API. Both paths fill one calendar, so advisors see every appointment in one place.
