AI Phone Ordering for Propane and Fuel Delivery

5.0

Stars
A propane answering service that takes the order, not just a message. The agent confirms the account and delivery address, takes gallons, liters, or cylinder counts, offers the next delivery window from your dispatch system, and writes the order back by API. Run a pilot on your real calls before you sign a contract.
Trusted by over 4,000 businesses powering 100+ million calls per month.
How It Works

Set up AI phone ordering for propane and fuel delivery in four steps, from account lookup to live orders on your existing number.

Connect accounts and dispatch
Connect your customer, pricing, and delivery-window endpoints through custom functions, then write the rules for minimum fills, cutoffs, and which calls go to a person.
Test on real order calls
Run simulated calls with wrong addresses, customers with two accounts, missed delivery windows, and Spanish speakers, and grade each run before a real customer calls.
Connect your number
Keep your existing number by importing it over a SIP trunk or forwarding it from your carrier, then turn on ordering for one branch or one route before the rest.
Go live and track orders
Every call gets a transcript and post-call extraction, so you can track orders written, quantities ordered, reschedules, and transfers by branch.
Use Cases

Propane and fuel orders taken from the first ring to the dispatch board

Delivery worker loading propane cylinders onto a truck
Tank fills and cylinder orders

Need the 7am call for a tank fill or two cylinders taken without someone keying it in by hand. The agent finds the account by the caller's number, confirms the delivery address on file, and takes the quantity in gallons, liters, or cylinders. It checks your minimum fill and price through a custom function to your billing or delivery system, then writes the order back and reads out the confirmation number. Callers with more than one account or delivery site are asked which one before anything is written.

Delivery driver checking the route on a tablet in the cab
Delivery windows from your dispatch system

Need callers quoted a delivery window your drivers can actually make. The agent asks your dispatch or route system for the next open window during the call and offers it, plus the one after if the caller cannot be there. When the window a caller wants has already passed, it offers the next open one instead of promising a time. Reschedules and cancellations follow the same rules. Teams that also cover after-hours service calls use an AI dispatch service.

Customer placing a delivery order by phone at home
Spanish and bilingual order lines

Need Spanish-speaking customers to order without waiting for the one bilingual person on staff. The agent takes the full order in Spanish, or switches when the caller does, and confirms address, quantity, payment method, and delivery window in the caller's language. Product names, street names, and local terms can be added as boosted keywords so transcription catches them. Every order lands in your system in the same format, whatever language the call was in.

Customer making a phone call at home late in the evening
After-hours and weekend orders

Need orders taken at 11pm and on Sunday without paying someone to sit by the phone. The agent answers every call after hours, takes routine orders straight into your system, and transfers anything urgent to the on-call driver or manager. Customers who have run out hear the earliest delivery your schedule allows, not a voicemail greeting. Calls about a gas smell or a leak follow the safety script you set and go to your emergency line right away.

Gas cylinders stored in a locked cage outside a store
Outbound reorder and cylinder count calls

Need retail accounts and will-call customers contacted on a schedule instead of waiting for them to run out. The agent places outbound calls through batch calling, asks for full and empty cylinder counts or the current tank reading, and compares the answer with the order history you pass in. When a count looks off against history, it checks with the caller before writing the order. Confirmed quantities and delivery notes go back to your system for routing.

Customer on the phone checking on a delivery
Payment, account terms, and order status

Need payment handled without anyone reading a card number over the phone. Commercial accounts order on terms, residential customers can pay on delivery, and anyone else can get a payment link from your payment provider by text, sent from your business number once it is registered for texting. The agent also answers where-is-my-driver and did-my-order-go-through calls by looking the order up by phone number. Businesses that take other product orders by phone use AI phone ordering for the same job.

FAQ

Frequently asked questions.

Does Retell connect to propane delivery management software?

Retell does not ship a prebuilt connector for propane or fuel delivery management software. The agent reaches your system through custom functions that call its API during the call, or through webhooks that send the finished order after the call. If your software has no API, the webhook can deliver each order to a tool your team already uses, such as a dispatch channel or email, and staff enter it from there.

Can the agent take propane orders in Spanish?

Yes. Spanish is supported for both speech recognition and voice, and an agent can be set up for Spanish only or for callers who switch between English and Spanish. Street names, product names, and local terms can be added as boosted keywords, and every order is written to your system in the same format whichever language the call used.

Can the agent take payment for a fuel delivery?

It works with the payment setup you already have. Commercial accounts can order on terms, and residential customers can pay on delivery. For card payments, the agent texts a payment link created by your payment provider through a custom function, sent from your business number once it is registered for texting. Card numbers never need to be read aloud, and PII scrubbing can remove any that are said from stored transcripts and recordings.

What happens with an emergency, a complaint, or an order the agent cannot place?

You decide which calls go to a person, such as a reported gas smell, a customer with no heat, a billing dispute, or an order your system rejects. The agent then transfers the call. With a warm transfer, it waits for someone to answer and briefs them privately on the call so far, so the caller does not repeat themselves. Managers can also listen to live calls and take over.

How much does an AI propane answering service cost on Retell?

Pay-as-you-go voice agents cost $0.07 to $0.31 per minute, depending on the language model, voice, and telephony you choose, with $10 in free credits to start and no contract. Twenty concurrent calls are included, and calls above your limit can run in burst mode at an extra $0.10 per minute. Enterprise plans have custom pricing. See pricing for your mix.

How is this different from a propane answering service that takes messages?

A message-taking answering service writes down the caller's name and number, and someone calls back the next morning. A voice agent on Retell takes the order itself: it checks the account, confirms the address, takes the quantity, offers a delivery window, and writes the order to your system during the call. Routine orders are done before your office opens, and the callbacks left for staff are the ones that need a person.
