AI Lead Qualification Software for Agencies and BPOs

AI lead qualification software for agencies and BPOs is a voice agent platform you run on behalf of clients: it calls or answers each client's leads within minutes, asks that client's qualifying questions, writes the result into that client's CRM, and passes sales-ready leads to that client's team. The right platform keeps every client separate, lets you bill each one, and lets you prove results client by client.
This guide is for marketing and lead generation agencies, AI automation agencies, resellers and BPOs. If you are buying for your own company's contact center, read the companion guide, AI lead qualification software for enterprise contact centers, because the criteria are different.
Retell AI publishes this guide and is one of the options compared. Every Retell capability below links to Retell's documentation, read on November 6, 2026. For named vendors, see our ranked list of AI voice agents for lead qualification and our comparison of white label voice AI platforms for agencies, which covers branding and resale in detail.
How we built this guide
We started from what agencies, resellers and BPOs raise in Retell's own sales conversations about lead qualification, with no customer names or numbers carried over, and from the questions AI assistants already receive on this topic. We grouped them into seven criteria. For each, the scorecard gives the question to ask any platform, what a good answer looks like, and how Retell handles it, with a documentation link so you can check it yourself.
The guide compares platform models, not named competitors. Vendor features and prices change quickly, so check any vendor claim on that vendor's own pages.
Why agencies and BPOs buy lead qualification software differently
An enterprise team buys one agent for one company. You buy a platform you will run for many companies, each with its own leads, CRM, compliance rules and invoice. Four things follow from that:
- Every client must stay separate. One client's agents, phone numbers, call recordings and API keys should never be visible to another.
- Every client needs its own bill. You need usage per client to invoice it and to know your margin.
- Every client has its own CRM. One runs GoHighLevel, the next HubSpot, the next Salesforce. The agent has to write to each one.
- You are judged on your client's follow-up. In our sales calls, the most common agency complaint is that clients are slow to follow up on the leads the agency generates, and that slow follow-up costs the agency the account. An agent that calls every lead within minutes protects the retainer.
BPOs add a fifth: the AI agent has to hand off cleanly to human agents on the floor, because most programs mix AI and people.
Four platform models agencies and BPOs choose from
| Model | Branding | Client separation | Billing per client | Control over qualification logic | Best fit |
|---|---|---|---|---|---|
| Finished white-label platform | The whole product carries your brand | Built-in client accounts | Often built in | Within that platform's builder | Agencies that want a branded product with little engineering |
| Voice AI built into a CRM your clients use | The CRM's branding | One CRM account per client | Through the CRM | Within that CRM's voice tools | Agencies whose clients all live in one CRM |
| Voice agent platform you run per client | Your brand on the calls, the client portal and the invoice; the vendor dashboard stays behind you | One isolated workspace per client | Usage and invoices per workspace; you set the client price | Full control of prompts, flows, models and functions | Agencies and BPOs that want to own the agent logic and their margin |
| Your own build on raw speech and LLM APIs | Fully yours | Whatever you build | Whatever you build | Total, and so is the maintenance | Teams with engineers to spare on telephony and speech |
Retell is in the third row. The Retell dashboard itself is not rebranded, so agencies invoice clients themselves and give them a portal built on the API, a partner tool or read-only access, as the white label comparison above explains. Our white label AI voice agents page shows the reseller setup on Retell.

Seven criteria for choosing AI lead qualification software for clients
Client separation
Ask what one client's login can see, whether API keys are scoped to a single client, and whether a problem in one client's account can affect another.
Retell's workspaces are fully isolated: agents, knowledge bases, voices, phone numbers, API keys, webhooks, members and billing all stay inside the workspace that created them. The documented pattern for an agency or reseller is one workspace per client, with the client's team invited into their own workspace at the role you choose, such as Viewer or Analyst. Workspaces are created by hand in the dashboard; there is no API to create them.
Per-client billing and margin
Ask whether usage and invoices can be split by client, and whether you can set your own client price. Each Retell workspace has its own payment method, credit balance, invoices and usage totals, so you see the cost of each client and set your price on top. Our guide to how agencies price AI voice agents covers the pricing models agencies use.
One integration per client CRM
Ask which CRMs connect natively and whether each client's CRM can connect to that client's account only. Retell's CRM integrations cover Salesforce, HubSpot, Microsoft Dynamics 365, GoHighLevel and Zoho, sync contacts both ways, and log calls as CRM activity. On GoHighLevel, each sub-account connects with its own Location ID. Retell's documentation gives the agency example directly: sync a client's GoHighLevel contacts and map a `qualified` field back, so the client's follow-up workflows run from that field after every call.
Speed to lead for every client at once
Your clients' campaigns peak at different times, and several can peak together. Ask how concurrency is counted across clients. On Retell, concurrency applies per workspace, so traffic in one client's workspace does not use another client's slots. Pay-as-you-go workspaces start with 20 concurrent calls, and the limit can be raised. For new leads, an auto-enroll outbound call campaign calls each contact that matches your rules, such as every new web lead, without a new upload.
A clean handoff to the client's sales team
Ask what the client's rep hears before the lead is connected and what happens when no one answers. Retell's transfer call tool supports warm transfers with a private whisper message to the rep, and agentic warm transfers in which a second AI agent briefs the rep before connecting the caller. If the rep cannot take the call, the caller goes back to the AI agent, which picks the conversation back up and can book a meeting instead.
Compliance for each client's outbound calls
You run the dialer, but each client owns its consent. Ask how numbers are screened and whether calling hours follow each contact's time zone. In February 2024 the FCC ruled that AI-generated voices are "artificial" under the TCPA, so consent rules for artificial voice calls apply. Retell's outbound call campaigns run compliance checks before dialing: an internal do-not-call list, federal and state registries (under the FTC registration you enter), reassigned numbers, TCPA litigators and line types, with screening billed per number checked. Calling windows follow each contact's local time. This is not legal advice; agree on consent responsibilities in your client contracts.
Proof of results, client by client
Clients renew on numbers. Ask whether you can define each client's own success fields and report on them per client. Retell's post call extraction writes the fields you define (yes or no, number, text or a fixed list) on every call, such as `qualified`, `budget_band` or `booked`, and the analytics dashboard tracks success rate, cost and latency per workspace. Alert rules email or webhook you when a client's success rate or call volume moves past a threshold, so you hear about a problem before the client does.
Agency and BPO lead qualification scorecard
Use this in platform demos. The last column is what Retell's documentation says today; ask every other platform the same question.
| Criterion | Question to ask | What a good answer looks like | How Retell handles it |
|---|---|---|---|
| Client separation | Can one client ever see another's data or keys? | Isolated accounts per client, scoped keys and roles | One workspace per client, keys and roles per workspace |
| Billing and margin | Can we see cost and invoice per client? | Usage and invoices split by client, your own price | Billing, credits and usage per workspace |
| Client CRMs | Which CRMs connect, per client? | Native sync for the CRMs your clients use, per client account | Salesforce, HubSpot, Dynamics 365, GoHighLevel sub-accounts, Zoho (CRM sync) |
| Speed to lead | Does one client's surge slow another client? | Capacity counted per client | Concurrency per workspace, auto-enroll campaigns for new leads |
| Handoff | What does the client's rep hear before connecting? | A brief on the lead, and a fallback if no one answers | Warm and agentic warm transfers |
| Compliance | How are numbers screened, and under whose registration? | DNC, reassigned-number and litigator checks, local calling hours | Campaign compliance checks under your FTC registration |
| Reporting | Can we define success per client and get alerted? | Custom fields per client, dashboards and alerts | Post call extraction, analytics, alert rules |
How to price an AI lead qualification service
Your cost is mostly per minute, and your clients usually want to pay per lead, per qualified lead or a monthly retainer. Model it per client before you quote.
- Platform cost. Retell's pay-as-you-go pricing starts from $0.07 per minute, with $10 in free credits; the pricing page breaks the per-minute cost into voice infrastructure, model, voice and telephony.
- Extras. Phone numbers, number screening (billed per number checked), premium voices and larger models add to the per-minute figure.
- Your time. Building the client's agent, writing the qualification rubric, connecting the CRM, and weekly call review.
Then compare against what the client values: client price per qualified lead minus your cost per qualified lead, where your cost per qualified lead = (minutes used × cost per minute + extras) ÷ qualified leads. Track it per workspace every month, because a client whose leads rarely answer costs more per qualified lead than one whose leads call in.
How to prove reliability to a new client
Clients have seen bad bots. Show them the agent works on their own leads before you ask for a long contract.
- Write the client's rubric as fields before you write the prompt, so success is defined in the client's terms.
- Build a test suite per client. Simulation tests let an AI play the client's hardest leads, graded pass or fail. Rerun them after every prompt change, so a fix for one client never breaks another.
- Pilot on one lead source with an A/B split against the client's current follow-up.
- Report weekly from the client's own fields: speed to first call, contact rate, qualification rate, transfers and meetings booked.
When this setup is not the right fit
If you want a finished product with your logo on every screen and no engineering at all, a white-label platform may suit you better. If every client lives in one CRM and needs only simple qualification, that CRM's built-in voice tools may be enough. A voice agent platform run per client pays off when you want to own the agent logic, choose the models and voices, and keep the margin. Our lead qualification for marketing agencies and lead qualification for BPOs pages show what the agent does on calls for each.
Frequently asked questions
What is the best AI lead qualification software for agencies?
The best fit depends on how you sell. A finished white-label platform suits agencies that want a branded product with little engineering. A voice agent platform run per client, such as Retell, suits agencies and BPOs that want full control of the agent and their margin, with one isolated workspace, CRM connection and bill per client.
Can I resell AI lead qualification under my own brand?
Yes. With a platform like Retell, your brand goes on the calls, the client portal and the invoice, while the vendor dashboard stays behind you. Retell keeps each client in a separate workspace with its own billing, so you set your own price.
How do agencies keep client data separate on one AI voice platform?
Use one isolated account per client. On Retell, each client gets its own workspace, and agents, phone numbers, recordings, API keys and billing never cross between workspaces. Invite the client's team into their own workspace with a limited role.
Does AI lead qualification work with GoHighLevel?
Retell connects to GoHighLevel per sub-account, syncs contacts both ways, and can map a field such as `qualified` back to the contact so the client's follow-up workflows run from it. It also syncs with Salesforce, HubSpot, Microsoft Dynamics 365 and Zoho.
How fast can an AI agent call new leads for my clients?
Within minutes of the lead arriving, at any hour your calling rules allow. Capacity is counted per client workspace on Retell, so one client's campaign surge does not slow another client's calls.
